Returns & Quality Dispute Policy
Our conditions for accepting product returnsAs an international commodity exporter operating under standard maritime trade practices, Global Spice Trade maintains a clearly defined returns policy that protects both buyers and our company from misunderstandings that can arise in cross-border trade.
Return requests initiated unilaterally by the buyer — without documented grounds — will not be accepted. All commodities exported by Global Spice Trade undergo a thorough pre-shipment quality inspection and documentation process before any container is loaded and dispatched.
- Pre-shipment video documentation — recorded footage of the product condition and container loading process.
- Photographic evidence — clear product images confirming grade, quantity, and packaging at the time of loading.
- Specification certificate — a signed document confirming the product's grade, weight, moisture content, and any applicable quality certifications (COO, Phytosanitary, Halal, etc.).
If the above documentation has been duly provided to the buyer prior to shipment, the transaction is considered confirmed and accepted by the buyer in its delivered state. We strongly recommend that all buyers retain copies of all pre-shipment documentation for their own records.
Shipping Liability & Cargo Insurance
Our responsibility during ocean freight transitAll goods exported by Global Spice Trade are shipped under internationally recognized maritime freight terms. Once the cargo has been loaded into the container and the Bill of Lading has been issued, responsibility for the goods in transit passes in accordance with the agreed Incoterm (FOB, CIF, CFR, or as otherwise agreed in the sales contract).
Global Spice Trade bears no liability for any damage, deterioration, loss, or delay to goods that occurs during the ocean voyage, at the port of discharge, or subsequent to the goods being received by the carrier. Events occurring during transit — including but not limited to rough sea conditions, port congestion, vessel delays, moisture exposure during the voyage, or handling damage at the destination port — fall outside the scope of our direct responsibility.
Cargo insurance can be arranged through your preferred freight forwarder, shipping line, or independent insurance provider in your country. The cost of cargo insurance is typically a small fraction of the goods' value and provides significant protection against potential transit risks over long ocean voyages — particularly relevant for routes to the Middle East (12–18 days), Europe (22–30 days), and Asia (7–14 days).
Global Spice Trade will provide all necessary export documentation — including the commercial invoice, packing list, certificate of origin, and phytosanitary certificate — to support your insurance claim process in the event that a valid claim needs to be filed with your insurer.
Payment Terms & Methods
How payment is structured for all ordersAll transactions conducted through Global Spice Trade are governed by clearly defined payment terms that are communicated to the buyer at the time of quotation. We offer two standard payment structures designed to protect both parties in international commodity trade:
Staged Payment (2-Phase)
A deposit of 50% of the total invoice value is required to confirm the order and begin production / lot preparation. The remaining 50% balance is due once the goods are ready for loading into the container and pre-shipment documentation has been provided to the buyer.
Full Payment Upfront
Full payment of the total invoice value is made by the buyer upon receipt and acceptance of the final Bill of Quantities (BOQ / RAB) prepared and issued by Global Spice Trade. This option may be preferred by buyers seeking a streamlined process.
All payments are to be made via bank-to-bank Telegraphic Transfer (T/T). Payment terms, banking details, and any applicable currency arrangements will be confirmed in the official Sales Contract and Proforma Invoice issued by Global Spice Trade prior to any payment being made.
The agreed payment structure for each individual order will be confirmed in writing in the sales contract. Any deviation from the standard payment terms must be mutually agreed upon in writing by both parties before the order is confirmed.
Limitation of Liability
